When something has gone wrong, work in this order. It is written to be followed under pressure.
The protocol
-
Stop the blast radius. If new submissions could make it worse, close registration first. You can reopen in ten minutes. You cannot un-create two hundred bad records.
-
Read the activity log. Go to
/admin/logsand filter to the affected record. Establish who did what and when before deciding what to change. -
Prefer correction to deletion. Edit the affected record. If the fix needs a guarded action, get an admin; do not work around it.
-
Verify linked state. One allotment touches the delegate, the allotment, the portfolio, the payment, the emails sent and the public matrix. Fixing one does not fix the rest.
-
Recheck the public surface. Look at the real public site: the registration state, the matrix, and the delegate's own status page. That is what your delegates see.
Common situations
Registration opened too early. Close it. Look at what came in. The records are valid; they just arrived before you were ready. Do not delete them.
A committee was set up wrong. Fix the committee. Then check anyone already allotted into it: their fee was priced from the committee type at allotment and does not update.
Payments were misrouted. Close registration, get an admin to fix the provider, and reconcile by hand what came in during the window. Do not comp people to make the problem disappear.
A delegate was allotted the wrong portfolio. An admin revokes and re-allots. The delegate has already had an email saying otherwise, so tell them.
Bad rows were imported. Check quarantine first: the rows you are worried about may already be there. See cross-delegation imports.
Operator rules
These exist because each one has bitten somebody.
- Do not share admin or maintainer accounts.
- Do not use destructive actions as a shortcut for incorrect data.
- Do not mark payments received without external confirmation in hand.
- Do not open registration with incomplete committees, fees or payment routing.
- Treat the activity log as the source of truth for what happened.
- Escalate unclear financial, permission and deletion work to an admin.
Afterwards
Write down what happened while it is fresh, including what the log showed. The next person to hit it will be someone else, next year.
