Selection emails

Sending results, what the message contains, and why it cannot double-send.

Selection emails are their own button. They do not go out when you set a result.

Sending them

From the cycle page, Administrative Council. The cycle must be in Finalisation or Completed, so results cannot be emailed while evaluation is still happening.

You can also email a selection of candidates from the candidate list.

What the email contains

The selection message, plus two things you configured in setting up a cycle:

  • the WhatsApp group URL, so a selected candidate lands somewhere immediately;
  • your note, up to a thousand characters.

Write both before finalisation. It is not a moment for drafting copy.

It cannot double-send

Sending is idempotent. Pressing the button twice does not email anyone twice, because each send is recorded and checked against. If you are unsure whether a batch went out, pressing it again is safe.

Delivery failures

Recorded like every other email. A failure does not undo the selection. See email delivery for how failures surface and how to resend.

Before you press it

  1. Check every candidate has a result. Nobody should be Pending.

  2. Read the finalists list once more, as a list.

  3. Check the WhatsApp link actually works, from a phone, signed out.

  4. Check the note for last year's dates.

Careful

This is the least reversible thing in the recruitment console. A wrongly selected candidate can have their result changed, but they have already been told. Read the list before you send, not after.
