Launching a conference

The six-step order to set things up in, and the checklist that tracks it.

Do not open registration first and fill the platform in afterwards. The order below is the one the product expects, and the overview tracks your progress through it.

Do not do this

Opening registration before committees, fees and payment routing exist produces delegates you cannot allot and cannot charge. Fixing that afterwards is manual work on every record.

The six steps

  1. Conference brief. In conference identity, set the dates, venue, public copy, contacts, awards and matrix visibility. This is what the public homepage renders.

  2. Committees. In committees and the matrix, create every active committee. Confirm each one's agenda, type, whether it is double delegation, and its sort order.

  3. The portfolio matrix. Generate or paste the portfolios for each committee, then read them. Check spelling and check each one's state. Delegates will type these names from memory, so odd spellings cost you matching work later.

  4. Fees and payment. In fees and payment setup, define every fee tier. Then ask an admin to verify the payment provider and confirm how money will be reconciled. The payment settings are admin-only on purpose.

  5. Public QA. Look at the real public site: homepage, matrix, team, Dispatch, quiz join, and the full registration form. Do it on a phone as well as a laptop. Submit a test registration and follow it through.

  6. Open intake. Only now, turn registration on in opening and closing registration.

Then watch the first records

The first hour of real registrations tells you whether step 5 was done properly. Check that:

  • source attribution is right on new records;
  • the confirmation emails are actually being delivered;
  • statuses change as you expect when you allot a test delegate;
  • nothing is landing in the import quarantine.

The checklist on the overview

Maintainers see a live launch checklist on /admin covering mode, dates and venue, committees, matrix, fees, payment provider, registration, the team roster and the first dispatch. Each item links straight to the settings page that satisfies it. It stays visible until the conference is ready.

Choosing the mode first

Before any of this, decide which operating mode you are in. It determines whether a conference is promoted at all and whether payments apply, and changing it later changes the public site underneath your delegates.
