Finalisation and the society

Why selecting someone and adding them to the society are two deliberate steps.

The end of a cycle is two separate actions. Understanding why they are separate is the point of this page.

The two actions

Setting a result records the decision. The candidate is selected, rejected, held, withdrawn or disqualified. Nothing else happens.

Adding to the society creates or links a user account for a selected candidate. This is a second, deliberate action.

Why they are separate

Because a decision and an account are different things, and conflating them means every selection silently provisions access.

Keeping them apart means the council can finalise a whole cohort, review the list, and only then create accounts. It also means a selected candidate who never joins does not leave an orphaned account behind.

Recruitment cannot grant console access

Adding someone to the society can only assign the plain member role. This is fixed and not configurable.

So recruitment can never produce an admin, a maintainer or a delegate account. Console permissions remain a separate, deliberate change made by an admin in users.

Note

This is a structural guarantee, not a convention. There is no setting that changes it and no path through the recruitment console that reaches a privileged role.

The finalisation panel

On the cycle page, Administrative Council only. Three lists:

  • Finalists, ready to be added;
  • Awaiting society, selected but not yet added;
  • Already recruited.

The middle list is the one to work down. It is the gap between a decision and an account.

Getting into finalisation

Move the cycle to Finalisation. Only an Administrative Council member can, and only from a state that allows it. See the cycle lifecycle.

Reopening

Finalisation can return to In progress, and Completed can return to Finalisation. A cycle closed too early is recoverable.

Order of work

  1. Move the cycle to Finalisation.

  2. Set every candidate's result. Nobody should be left Pending.

  3. Review the finalists as a list, not one at a time.

  4. Send selection emails.

  5. Add selected candidates to the society.

  6. Move the cycle to Completed.
